Facilities Use & Reservations
Conduct & Facility Use Guidelines
All users must comply with the following guidelines to ensure a safe and respectful environment for everyone:
- Prohibited Activities: Use of alcohol, tobacco, illegal drugs, profanity, gambling, unruly conduct, dangerous weapons, and any other unlawful activities are strictly prohibited on school grounds.
- Proper Footwear: Appropriate footwear must be worn on surfaces as specified by district staff. The application of any material to walls, ceilings, or floors is prohibited unless approved in advance.
- Safe Conduct: Activities must be conducted safely, and supervisors are accountable for the orderly conduct of participants and spectators.
- Supervision: A school district employee or approved non-employee supervisor must be present during all facility use. Supervisors must secure the facility after use and ensure proper cleanup.
Failure to comply with these guidelines may result in revocation of current or future use agreements.
Responsibility of Facility Users
- Supervision: Adequate supervision must be provided for all activities. The district reserves the right to review planned activities and determine appropriate supervision levels.
- Key Responsibility: When school staff is not present, a designated supervisor may be issued a key. The keyholder is responsible for unlocking, securing, and returning the key to the Facilities Office.
- Cleanup: Users are responsible for cleaning up areas after use. If cleanup is not completed, the district may bill the user organization for the time and materials needed to clean the space.
Summer Use
Summer use of facilities may be limited to allow for maintenance and cleaning. Summer requests must be approved by the Facilities Director.
Facility Reservations
Community members, district staff, and organizations can request facility use through ML Schedules. Here’s how it works:
- School-Sponsored Events: Schools should enter their requests before September 10 for the upcoming school year to avoid conflicts.
- Community Events: Community reservations open after September 11, giving priority to school activities first.
- Scheduling Conflicts: If conflicts arise, the Facilities Director or designee will attempt to resolve them. If unresolved, the Superintendent will make the final decision.
Extenuating Circumstances
The district reserves the right to cancel reservations due to unforeseen events such as hazardous weather or district playoff games. We will provide 24-hour notice whenever possible.
Insurance & Liability
The user of district facilities must hold the Concrete School District harmless from any claims arising from the use of the premises, except for those caused by district negligence.
Depending on the nature of the event, proof of insurance may be required, with Concrete School District named as an additional insured. The district may also require a deposit equal to the estimated amount of use in advance.
Fees & Charges
- Fees: Facility use fees are determined by the Board of Directors and can be found in the 4260T Facility Use Fee Table. All fees are billed by the central office and paid to the Accounts Receivable Department.
- Labor Charges: Direct labor charges apply for facility use outside of normal hours or for special requests. Rates are calculated based on current district wage agreements.
User Classifications
Facility users are categorized into the following groups, with priority given to district-sponsored activities:
- Group 0: Concrete School District activities (meetings, extracurricular activities, etc.).
- Group I: Nonprofit groups affiliated with the district (PTOs, booster clubs).
- Group II: Nonprofit groups that support youth or the district’s mission (scouting, CYSA).
- Group III: Nonprofit groups for select youth activities (competitive teams).
- Group IV: Nonprofit adult groups and service clubs (adult community organizations).
- Group V: Commercial, private, or for-profit groups (weddings, private parties).
Proof of nonprofit status is required for Groups I-IV, and liability insurance may be required for all groups.

Some district facilities are restricted from public use, including:
